How to Get a Birth Certificate from KMC: A Complete Guide for NRIs

Why This Matters More Than You Think

Every year, thousands of NRIs living in the UK, USA, UAE, Canada, and Australia discover that a document they never thought about — their birth certificate — is suddenly the most important piece of paper in their lives. The Kolkata Municipal Corporation (KMC) is the issuing authority for birth certificates for anyone born within the Kolkata city limits. The process is not complicated if you know what you're doing. But if you don't, it can take months and multiple trips to India.

What You Need Before You Start

The documents required depend on when you were born and whether the birth was registered at the time:

  • If registered at birth (1970 onwards): Your original hospital discharge record or the original birth entry number, your parents' identity documents, and your own current identity document (passport).
  • If not registered at birth: An affidavit, school leaving certificate or other proof of date of birth, and identity documents for both parents.

The KMC Process Step by Step

Birth certificates in Kolkata are issued by the ward office of the KMC ward in which the birth occurred. The process involves:

  1. Identifying the correct ward office (based on the hospital or address where the birth occurred)
  2. Submitting the application with supporting documents
  3. Paying the prescribed fee
  4. Collecting the certificate (or having it couriered to you)

For standard registered births, this typically takes 3–4 weeks. For late registrations, allow 6–8 weeks.

If your parents lived in one area but the hospital was in another ward, the application goes to the ward where the hospital was located — not where your parents lived.

The second most common mistake is submitting photocopies when originals are required. KMC officers are strict about this, and a single missing original can send you back to the start.
